Workforce (HRM)
HRM is the module (part of the Enterprise plan) that turns a single-admin hospital into a team. Adding staff here is what creates the individual logins — nurse, receptionist, lab technician, pharmacist, accountant — that the rest of this guide refers to. HRM → Dashboard shows who's on today and the workforce at a glance.
HRM is the gateway to team access
Before HRM, the hospital is one administrator account doing everything. After HRM, each staff member you add gets their own login, and what they can see is set by their role and permissions — see Roles & permissions.
Adding a staff member
From HRM → Staff List, choose Add Staff and work the short wizard:
- Details — name, email, phone.
- Role — nurse, receptionist, lab technician, pharmacist, accountant, or a custom role you've defined.
- Employment — how they're engaged (and, for salaried staff, their pay).
- Create. ZenhCare shows a temporary password on screen — hand it to the new staff member. They set their own password on first sign-in.
The Staff List also includes duty doctors, and its Add Doctor option reuses the clinical doctor wizard, so you can bring a doctor onto the roster from here too.
Staff can exist without a login
Some staff (and duty doctors) can be recorded for rostering and attribution without a full account, and given a login later — handy for people you schedule but who don't need to use the app.
Shifts & the duty roster
- Shift Management is a unified schedule. A set of pills switches the view between All, Staff, and Duty Doctors, and the calendar opens on the month of the latest shift. Assign people to shifts so attendance and payouts have something to measure against.
- The duty roster records who's on-call for each ward and shift. It's what a duty-mode IPD admission relies on to cover an inpatient, and it drives per-shift payouts to those doctors (settled in Finance → Payouts).
Attendance
HRM → Attendance records who's present against the roster — staff clock in and out, and administrators see the day's attendance with late starts and absences visible. Each staff member can also see their own attendance from their self-service area.
Leave
HRM → Leave Management handles time-off end to end:
- A staff member requests leave from their My Leave self-service page (dates + a reason).
- An administrator approves or declines it.
- Approved leave shows on the schedule, so it's accounted for when planning shifts.
Payroll
HRM → Payroll pulls compensation together for a pay period:
- Salaried staff and doctors on their agreed salary.
- Fee-share doctors on their share of the work they did — which also appears as payables in Finance → Payouts.
- Duty / visiting doctors on their per-shift rate from the roster.
Payroll produces the run for the period; settling it flows through Finance as an expense. Each staff member keeps a small self-service corner — My Leave and My Profile — so routine requests and detail updates don't need an administrator.
